Keep Internal Staff current and bring roster labour into myne

Connecting Deputy brings your staff, timesheets and upcoming rosters into myne so you can keep staff audiences up to date and analyse labour alongside the rest of your business data.

Active employees are added to a locked Customer Group called Internal Staff. You can use this group for staff-only promotions, discounts or other communications without maintaining a separate staff list. When someone leaves and is no longer active in Deputy, they are removed from the group on the next sync.

Deputy labour data can also be used in myne’s AI Analyst and dashboards. This lets you analyse things such as rostered hours, wage cost and staffing levels alongside sales, transactions and venue activity.

Before you start

You will need:

  • A Deputy account and permanent API token.

  • Integrations edit access to connect Deputy.

  • HR edit access to sync labour data and map locations.

  • HR view access to view timesheets, roster and labour information in myne.

Connect Deputy

  1. Go to Settings → Integrations → Deputy.

  2. Enter your Install subdomain, for example littlewest.au.deputy.com.

  3. Enter your Permanent token.

  4. Select Connect.

When the connection is successful, Deputy shows as connected.

Sync your staff

Select Sync staff to bring active Deputy employees into myne.

myne creates and maintains the locked Internal Staff Customer Group from your active employees. You cannot manually change the criteria for this group because its membership is controlled by Deputy.

If an employee already has a myne profile using the same email address, myne links the Deputy employee to that profile rather than creating another customer.

This keeps staff promotions and communications tied to your current team without needing to upload or maintain a separate staff list.

Map Deputy locations

Under Location mapping, match your Deputy locations or areas to the corresponding locations in myne.

This allows roster and timesheet data to be associated with the correct venue when you analyse labour across the business.

Shifts from unmapped Deputy locations can still sync, but they will not be linked to a myne location.

Sync timesheets and upcoming rosters

From the Deputy integration page, users with HR edit access can run:

  • Sync timesheets (90 days) to bring recent worked hours into myne.

  • Sync upcoming roster to bring upcoming scheduled shifts into myne.

Where Deputy provides it, timesheet data can also include wage cost.

Once synced, this data can be used alongside your other myne data in the AI Analyst and dashboards.

For example, you could:

  • Compare labour hours or wage cost against venue sales.

  • Understand how staffing changed on your busiest days.

  • Review upcoming roster levels before a busy period.

  • Build dashboards showing labour, sales and customer activity together.

  • Ask the AI Analyst questions about staffing and venue performance.

Labour data reflects roster and timesheet information from Deputy. It is separate from sales and transaction data coming from your POS.

Keep staff data up to date

Once Deputy is connected, myne can continue receiving staff and roster updates as they change.

Employees who are no longer active in Deputy are removed from Internal Staff, helping keep staff-only promotions and communications limited to your current team.

Disconnect Deputy

Select Disconnect and confirm to remove the connection. You can reconnect Deputy later from the same page.
